Refunds & Cancellations Policy

Free Trial
SA Wages Pro offers a 14-day free trial with no credit card required. During the trial you have full access to all features. If you choose not to subscribe at the end of your trial, your account will be automatically restricted — no charges are made.
Cancellations
You may cancel your subscription at any time from your account settings. On cancellation:
- You will retain full access to the Service until the end of your current paid billing period.
- Your subscription will not automatically renew after cancellation.
- Your data remains accessible in read-only mode after cancellation for 6 months to allow you to view and export records.
- After the 6-month retention window, personal data is anonymised in accordance with POPIA.
- No partial-period credits or refunds are issued for time remaining in a cancelled period.
Cancelling the Agri Add-On
The Agri Add-On may be cancelled separately from your base plan. On cancellation, agri features are disabled at the end of the Agri billing period. Farm and seasonal worker data enters the 6-month data retention window independently. Your base plan and domestic/business workers are not affected. Cancelling the base plan also disables Agri features.
Grace Period
If a payment fails, your account enters a 48-hour grace period. During this time your account is in read-only mode: you can view and export data but cannot create, edit, or delete records. If payment is resolved within 48 hours, full access is restored. If the grace period expires, your account is paused until payment is resolved. No data is deleted during the grace period.
Agri Add-On Billing
The Agri Add-On is billed at R199 per month and includes up to 100 farm and seasonal workers. Top-ups for additional workers are billed monthly. The Agri Add-On requires an active Lite Business, Business, or Professional base plan.
- Cancelling the Agri Add-On does not cancel the base plan
- Cancelling the base plan disables Agri features
- Farm and seasonal workers are counted in a separate agri worker pool
- Top-ups can be added or removed from the Subscription page
Refunds
As a general rule, subscription fees are non-refundable. Once a billing period has been paid, we do not issue refunds for:
- Unused time remaining on a cancelled subscription
- Downgrading to a lower-priced plan mid-period
- Forgetting to cancel before a renewal date
Exceptions — we will consider a refund if:
- You were charged due to a billing error on our side
- You were charged after cancelling and before the cancellation was processed
- The Service was unavailable for an extended period due to our fault
To request a refund under an exception, email billing@wagespro.co.za within 7 days of the charge, with your account email and description of the issue.
Annual Plans
Annual subscriptions are charged upfront for the full year. If you cancel within 7 days of initial purchase and have not used the Service to generate payslips or documents, we will issue a full refund. After 7 days, annual fees are non-refundable but you retain access for the remainder of the paid year.
Payment Processing
Payments are processed by PayFast. Refunds are processed back to your original payment method and may take 5–10 business days to appear, depending on your bank.
