SARS & UIF Forms: Where to Start

What This Tab Does

Reports now has a tab called "SARS & UIF Forms". It takes the payslips you have already run and turns them into the three forms the government asks employers for. You do not re-type anything - the figures come straight off your payslips.

SA Wages Pro prepares the forms and gives you the files. It does not submit anything to SARS or the Department of Employment and Labour for you. You (or your accountant or bookkeeper) still file them.

  • EMP201 - the monthly declaration of PAYE, UIF and SDL to SARS, due by the 7th of the following month
  • IRP5 / IT3(a) - one tax certificate per employee per tax year, for the annual reconciliation
  • UI-19 - one declaration per worker for the Department of Employment and Labour (UIF)

Before You Start

Three things must be in place or the forms will be incomplete:

  1. Your registration numbers must be captured under Settings → SARS & UIF registration.
  2. Every employee needs an ID number. IRP5 and UI-19 are both rejected without one.
  3. The payslips for the period must be finalised. The forms only read finalised payslips.

The readiness panel at the top of the tab lists exactly what is missing - which numbers, and which employees have no ID, tax or UIF number. Clear that panel first and the rest is a download.

The Tax Year and Scope Filters

Two dropdowns sit under the form picker and apply to whichever form you have open.

  • Tax year - the SARS tax year runs 1 March to end February and is named after the year it ends in. "2026/2027" means 1 March 2026 to 28 February 2027. Only years you actually have payslips for are listed.
  • Scope - all employees, agri workers only, or non-agri employees. Useful if a farm runs its seasonal team separately from permanent staff.

Scope filters who appears on the form, but the SDL threshold is always tested on your full payroll, because SDL is an employer-level liability and not a per-worker one.

Why It Pauses to Load ID Numbers

ID numbers are encrypted in the database. When you open the IRP5 or UI-19 form, SA Wages Pro fetches and decrypts them just for that screen, so you may see a short "Loading ID numbers..." message. The EMP201 does not need them, so it opens immediately.
