UI-19 Declarations

What Is a UI-19?
The UI-19 is the form that tells the Department of Employment and Labour who works for you, what you paid them, and - when someone leaves - why they left. It goes to the Department, not to SARS. The two keep separate records of UIF and both want their own paperwork.
It is one form per worker, not one form for the whole payroll.
Why It Matters to the Worker
When a worker loses their job and goes to claim UIF, the Department checks the UI-19 you filed. If there is no UI-19, or the reason for leaving is wrong, the claim stalls or is refused. The worker then comes back to you to fix it, often weeks later.
Getting the UI-19 right at the time somebody leaves is the single kindest piece of admin you can do for a departing worker.
How to Generate It
- Go to Reports and open the SARS & UIF Forms tab.
- Pick "UI-19" as the form.
- Choose the tax year and, if you want, the scope.
- Check the summary cards - workers declared, terminations, gross remuneration and total UIF.
- Review the table, paying particular attention to the reason codes on anyone who left.
- Download the ZIP of UI-19 forms, or the uFiling CSV.
The UI-19 declares what you actually paid, so it needs at least one finalised payslip. A worker with no payslips in the period will not appear.
Which UIF Number Goes On It
The UI-19 uses your Department of Employment and Labour UIF employer reference - the number on your uFiling account. That is not the same as the U-number SARS issued you. Capture both under Settings → SARS & UIF registration and the right one is used on each form automatically.
Putting the SARS UIF number on a UI-19 is a common mistake and the Department will not match it to your account.
